Join our team as an Administrative Assistant, where you'll play a vital role in supporting the Customer Service Department Head. You'll manage scheduling, documentation, reporting, and policy updates while coordinating communication across departments and assisting with special projects. Schedule: 8-hour shift, Monday to Friday. Hours may vary based on business needs. 

Location: Fully In-Office (Irvine, CA)

Starting Pay:  $23 per hour

WHAT YOU'LL DO:
The Administrative Assistant to the VP of Client Success supports the CS Department Head with general administrative functions. This role includes coordinating cross-department communication, assisting with special projects, and attending meetings as needed.  

  • Act as the primary source of direct support to the VP of Client Success and the CS Department as a whole.  

  • Offer additional support to the leadership team of the CS department as instructed.  

  • Create, organize, and maintain records, reports, and other critical documents to ensure easy accessibility. 

  • Assist with drafting, revising, and maintaining departmental policies and procedures. 

  • Generate, format, and analyze reports to support departmental initiatives and performance tracking. 

  • Support the Department Head with special projects, including planning, research, and implementation tasks. 

  • Act as the main point of contact between the Customer Service department and other teams, facilitating clear and efficient communication. 

  • Attend meetings with and on behalf of the Department Head when required, taking notes and ensuring follow-up on action items. 

  • Monitor deadlines and ensure that assigned tasks and projects are completed efficiently. 

  • Provide support on ad hoc assignments and adapt to the evolving needs of the department. 

  • Follow all policies and procedures for the department and Company, including personnel policies and expectations as outlined in the Employee Handbook. 

WHAT YOU'LL NEED:

  • High school diploma or equivalent. 

  • 6+ months of experience within the Company ideal. 

  • 2+ years in an administrative or assistant role, preferably within a customer service or corporate environment. 

  • Exceptional organizational and time-management abilities. 

  • Strong written and verbal communication skills. 

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). 

  • Ability to handle sensitive and confidential information with discretion. 

  • High attention to detail and accuracy in all work.
